TERMS & CONDITIONS

1. Introduction

By accessing and using this website or making reservations with Ceylon Trip Mate (Pvt) Ltd ("Company", "We", "Us", "Our"), you agree to be bound by these Terms & Conditions. If you do not accept any part of these terms, you should refrain from using this website or our services.

These Terms & Conditions apply to all bookings made directly through Ceylon Trip Mate, including hotel reservations, transport, excursions, and other travel-related services.

2. Booking and Payment Terms

2.1 Booking Confirmation

  • A booking is confirmed only upon receipt of a non-refundable deposit of 20% of the total booking value.

  • For peak season bookings, a 50% advance payment is required.

  • Full payment must be received 30 days prior to arrival unless specified otherwise.

2.2 Payment Methods

Payments can be made via:

  • Bank transfer (international transfer fees to be borne by the customer).

  • Credit/Debit Cards (Visa & MasterCard, with a 2.65% handling fee).

All payments are processed through a secure payment gateway.

2.3 Pricing & Currency

  • All prices are quoted in USD ($), EUR (€), GBP (£), or LKR (Sri Lankan Rupees).

  • Prices are subject to changes due to currency fluctuations, government tax revisions, or supplier rate changes.

3. Cancellation & Refund Policy

More than 45 days before arrival – Full refund minus administrative fees.

  • 45 to 30 days before arrival – 50% cancellation fee.

  • 21 to 29 days before arrival – 75% cancellation fee.

  • Less than 21 days before arrival – No refund.

No refunds for unused services once the tour has commenced.

4. Amendments & Changes

  • All requests for amendments must be made in writing and are subject to availability.

5. Travel Insurance

  • Customers are strongly advised to purchase comprehensive travel insurance covering trip cancellations, medical emergencies, and personal liability.

  • Ceylon Trip Mate shall not be responsible for any loss, damage, injury, illness, or death occurring during the trip.

6. Passports, Visas & Health Requirements

  • Customers must ensure they have valid passports, visas, and vaccinations before travel.

  • Ceylon Trip Mate does not take responsibility for denied boarding or entry due to insufficient documentation.

7. Limitation of Liability

  • We act as an intermediary between customers and service providers (hotels, transport companies, airlines, etc.).

  • We shall not be held liable for service failures caused by third-party providers.

  • In cases of force majeure events (war, terrorism, natural disasters, pandemics), we will assist in rebooking but are not liable for refunds.

8. Customer Responsibilities

  • Customers are responsible for any damage caused to hotel property or transport services.

  • Customers must comply with local laws, customs, and hotel policies.

  • Disruptive behavior may lead to service termination without refunds.

9. Website Usage & Data Protection

9.1 Website Terms

  • You may only use this website for legitimate bookings and inquiries.

  • You must not:

    • Use the website for fraudulent activities.

    • Interfere with website security or inject viruses.

    • Copy, distribute, or modify website content without permission.

9.2 Privacy Policy

  • Ceylon Trip Mate collects personal data (name, email, contact details) for reservation purposes.

  • Data is stored securely and will not be sold or shared with third parties.

  • We use SSL encryption for secure transactions.

10. Governing Law & Dispute Resolution

  • These Terms & Conditions are governed by the laws of Sri Lanka.

  • Any disputes shall be resolved through mediation, and if unresolved, through the courts of Sri Lanka.

 

11. Indemnification

  • Customers agree to indemnify and hold harmless Ceylon Trip Mate from any claims, damages, or losses arising from their use of the website or services.

 

12. Complaints & Feedback

  • Complaints must be raised immediately with our representative to allow for prompt resolution.

  • If unresolved, a written complaint must be submitted within 28 days of travel completion.
